Operations Assistant
The YWCA Princeton is hiring a full time Operations Assistant who will coordinate activities to assist in the administration of the YWCA Princeton; serve as primary contact for public inquiries, including those from community partners, vendors, volunteers, and visitors; work with board members, committees, volunteers, and the community-at-large; provide program and event assistance.
The Operations Assistant provides administrative support for the Chief Executive Officer and Chief Operations Officer, including areas of facility vendor management, information technology and purchasing. The Operations Assistant provides a high level of professionalism and customer service, and acts as a liaison with all internal departments and outside agencies, including the Board of Directors and Newcomers & Friends.
Primary duties and responsibilities
- Directly reports to the CEO and COO to support the day to day operations, the organization’s internal meetings, and YWCA Princeton’s growth as an organization.
- Serve as the primary point of contact for community questions and requests and serves as the first point of contact for information about YWCA Princeton, including events, program offerings, and organizational procedures.
- Supports the YW’s fee based programs including registrations and logistics.
- Manages facility vendors including scheduling all maintenance and contractor visits.
- Manages all external scheduling requests, in-person meetings, phone calls and meetings for the C-suite.
- Drafts general correspondence and documents, presentations and other materials as needed for special projects. Responsible for the accuracy and clarity of final copies and reports.
- Manages internal project management and oversees the coordination and execution of team meetings and key follow ups.
- Coordinates and schedules meetings, community visits, and use / rentals of the YWCA facility.
– Compiles the minutes of the Board meetings and obtains committee reports and prepares board material for the Board of Directors’ meetings and Board retreats. Supports and assists Board committees as assigned.
- Maintains office inventory, and the requisition of supplies.
- Works with fellow team members and consultants on a wide-array of projects as assigned by the CEO and COO, bringing a team-player spirit to this role.
- Adaptable to changing directions quickly in a fast paced environment.
- Coordinates special events for the C-Suite and the Board.
- Performs other related duties as assigned.
Ideal Qualifications:
The Operations Assistant will be an early to mid-career professional with at least 2 years of experience in providing administrative and operational support. Experience in the following areas is highly desirable:
- Fluent in Spanish is preferable
– Maintain confidentiality and diplomacy while dealing with others. Able to interact professionally at all times. Experience in managing multiple schedules and working with C-Suite officers with the highest degree of professionalism.
- Excellent writing and communication skills with attention to detail in composing and proofing materials, establishing priorities and meeting deadlines.
- Excellent in organizational, analytical, time management skills, prioritizing and managing multiple priorities, and administrative coordination.
- Excellent analytical skills; ability to quickly and independently aggregate and analyze information.
- A desire to grow as a professional through this experience with a collaborative and positive attitude.

Staff Accountant
The YWCA Princeton is seeking a Staff Accountant to support the YWCA Princeton in its mission to eliminate racism and empower women. The Staff Accountant will be responsible for participating in full cycle Accounting (A/P, A/R, cash application, payroll processing, managing monthly credit card statements and other general accounting duties). They will assist with cash management and producing monthly financial statements. The Staff Accountant will work collaboratively with the Development and Grants Administration team and other departments at the YWCA Princeton.

Primary Duties and Responsibilities:
- Works independently on routine and assigned accounting tasks as directed by the Chief Financial Officer.
- Enter all accounts payables/receivables, monthly accruals, and prepares weekly payments of invoices and expense reimbursements.
- Manage the payroll process, including processing payroll, verifying data and ensuring accurate and timely payment of employees.
- Ensure accurate and timely processing of payroll updates including new hires, terminations and changes to pay rates.
- Maintain accurate payroll records and ensure compliance with federal and state regulations related to payroll, including tax withholding, benefits, and payroll deductions.
- Communicate with employees regarding payroll-related inquiries and issues.
- Reconcile payroll accounts and resolve any discrepancies in a timely manner.
- Review and approve the recording of contributions (gifts), and ensure all gift backup documentation is attached to gift batches.
- Assist with the monthly close process.
- Reconciles bank accounts at least monthly, verifies deposits, and addresses inquiries from banks.
- Support and strengthen the overall control environment.
- Support the annual audit process by gathering the necessary documents
- Support other departments and ad hoc projects as necessary to support the mission.
Skills, Requirements, and Leadership Behaviors
- An Associate or Bachelor Degree in Accounting.
- Proficient in excel and Microsoft office software and financial accounting software, preferably Blackbaud.
- Prior experience applying knowledge of Generally Accepted Accounting Principles (GAAP)
- Three plus years of experience in non-profit accounting or similar accounting.

The YWCA Princeton’s English as a Second Language Program seeks a highly experienced part-time ESL teacher for both in person and online classes for immediate hire. Our ESL program aims to create a safe and successful learning experience for our students. Supporting our mission of eliminating racism and empowering women, the ESL program offers various classes including conversational English, citizenship preparation courses, and beginner English courses.
Primary Duties and Responsibilities
- Plan, prepare, and teach well developed lessons which enthuse; inspire students and promote enjoyment of learning
- Effectively and appropriately differentiate instruction to meet all students’ learning styles with an appreciation for students’ learning differences
- Select and sequence appropriate materials, resources, and approaches according to the course and audience of learners
- Assess, track, and provide relevant and timely feedback on achievement (performance and growth) to students and the ESL office
- Work with fellow teachers to help students be successful
- Submit lesson plans weekly and attendance sheets bi-weekly
- Provide feedback on materials, courses, and lessons to the ESL Director as requested
- Attend staff meetings and trainings when required, and attend/deliver professional development sessions as directed.

Position Summary:
The YWCA Princeton’s English as a Second Language seeks a highly experienced part-time bilingual Administrative Assistant. Our ESL program aims to create a safe and successful learning experience for our students. Supporting our mission of eliminating racism and empowering women, the ESL program offers various classes including conversational English, citizenship preparation courses, and beginner English courses. Reporting to the ESL Director, our ESL Administrative Assistant should feel comfortable with students of varying backgrounds, assisting teachers, and have experience in teaching or administration in similar ESL or literacy programs.
The position is in person and the person in this role should expect to work 15-20 hours per week. There is also a possibility for the ESL Administrative Assistant to teach courses as well.
Primary Duties and Responsibilities:
- Determine student eligibility in collaboration with local community college
- Initial and post program screening of students using the CASAS assessment system
- Attendance monitoring and follow-up for student absences
- Prepare packets for student evaluation at the end of each semester
- Assist with the preparations for the award ceremony at the end of the year
- Notify teachers and students of classroom assignments, room changes, and start dates
- Assist with volunteer and tutor screenings, compiling necessary teaching materials, and in class technology
- Assist with student registration, course creation, and payment using the EZComEd online program
- Assist with creation of teacher and student database upkeep, record keeping, and student attendance
- Attend staff meetings and trainings as needed
- Ongoing record keeping of student data in accordance with state deadlines

Summary
The YWCA Princeton is seeking a highly motivated development professional to assist with executing a successful capital campaign. The Capital Campaign Manager will report to the Chief Development Officer and will play a vital role in meeting the YWCA Princeton’s current ambitious capital campaign goals. As such, this position is responsible for identifying, engaging, cultivating, soliciting, and stewarding a portfolio of donors, prospects, and institutional stakeholders for capital giving. The Capital Campaign Manager will implement and manage all aspects of the Capital Campaign, including completing the second solicitation phase and launch the third phase of the campaign, event planning, cultivation, and campaign publications/communications.
The Campaign Manager is responsible for campaign strategy, including establishing solicitation priorities, managing prospect lists, developing and executing targeted cultivation plans and solicitation strategies for a range of projects, preparing and providing support to staff, board members and volunteers for solicitation, and planning and managing cultivation events.

The essential job duties / responsibilities of the position include, but are not limited to, the following:
- Commit to and understand the YWCA Princeton’s mission. This includes active participating in sharing the mission, vision and values of the organization, internally and externally, creating a culture of active philanthropy for and through all staff
- Oversee the coordination and execution of a campaign effort, working in conjunction with staff leadership, volunteers, board of directors and capital campaign committee.
- Work with the CEO and the CDO to review the campaign status to date, develop campaign strategy, and set campaign sub-goals for the end of phase II and launching phase III.
- Provide leadership to assure that campaign communications and cultivation event activity plans are met
- Schedule, attend and support all capital campaign committee meetings
- Manage visits and solicitations alone and with leadership staff, other committee or board members
- Identify prospects on the individual, corporation, and foundation levels
- Prepare all lists, reports and profiles concerning campaign prospects
- Assist with campaign grant writing and proposal preparation, as requested
- Manage and maintain records of cultivation strategies, evaluations, solicitations, contact reports and results of all contacts with campaign prospects.
- Produce all capital campaign packets for prospect and donor visits with supporting documentation and follow-up correspondence.
- Produce all campaign correspondence including letters of acknowledgment, follow-up letters and newsletters.
- Maintain records regarding campaign gifts and pledges including payment schedules and the production of pledge reminders for outstanding pledge balances.
- Handle any incidental details related to the campaign
- Keep accurate and timely records of all constituent interactions in Raisers Edge database and provide regular reporting of major gifts progress including detailed contact
- Identify and cultivate capital campaign committee and board members
- Devise and manage logistics for cultivation events, coordinating publicity as appropriate, with CEO and CDO and campaign staff
- Support staff leadership with all campaign needs and other duties as assigned
Qualifications:
- Enthusiasm and passion for the mission of the YWCA Princeton. Connections in the Princeton and greater Mercer county area are a plus.
- Bachelor’s degree required and a minimum of 5 years of relevant work experience with proven record in major gift and capital campaign cultivation and solicitation, portfolio management including donor stewardship and major gifts
- Proficiency in donor management systems and wealth screening software is required preferably Raiser’s Edge NXT and Donor Search
- Superior interpersonal and written and oral communication
- A disciplined, strategic, and motivated professional with a strong work
- Flexible scheduling as position could include local travel and some evenings and events.

The YWCA Princeton is looking to fill multiple substitute teaching positions at The Burke Foundation Early Childhood Center.

Substitute Teacher is responsible for assisting Teachers in delivery of an effective subject matter in accordance with the Creative Curriculum. Must have personality, patience, creativity and the ability to provide stability for program continuity and must be flexible to work between the hours of 7:30am to 6:00pm.
Primary Duties and Responsibilities
- Works with individual child or small groups of children, under the direction of the Pre-K Lead Teacher, to reinforce the learning materials and/or skills introduced by the Lead Teacher
- Distributes and collects workbooks, papers and other materials for instruction
- Assists with the supervision of students during periods of instruction, emergency drills, events, field trips and lunch periods
- Assist with lavatory activities and personal hygiene assistance
- Ability to lift and carry up to 15 lbs. as well as bending, stooping and sitting on a child-sized chair

- Help children become aware of their roles as integral members of a group
- Assist in ordered arrangements, appearance and learning environment or the classroom. Assure safe and sanitary use and maintenance of all classroom equipment and supplies
